Company profile
You can edit the basic information of your company in the application. On the Company → Profile page, you can add company details, turn contact persons into users and approve or reject access requests. However, if you are not an administrator, you can only manage addresses and contact persons.
Add and edit company details
Please notice that each company hierarchy should contain at least one legal entity. This legal entity must be registered to a known authority such as a tax office or a chamber of commerce.
When adding a legal entity to BNP, it must have a unique company/organization name, city and country of registration and at least one legal identifier. The company profile form offers suitable identifier types based on the country selection. User has also possibility to add more legal or other types of business identifiers.
There are some restrictions on changing information - should you have any issues while changing a value, pls. contact your company’s customer admin-user or OpusCapita Customer Support.
Add company information as follows:
Click Company, and select Profile. The Company Information page opens.
On the Company tab, edit the basic data as necessary.
Click Save to save the changes.
Organization chart view
The organization chart of the implemented group structure is shown on the Organization Chart tab.
You can search specific companies in the chart with following search values:
Company name: Name as registered in the OpusCapita Business Network.
Company code: Your own company identifier, for example ERP entity code.
Company identifiers: Company’s legal registration number or tax code.
The chart view can be modified and navigated with the chart actions:
Actions:
Zoom IN/OUT in the chart
View chart in full browser window
Expand all chart entities (NOTE: This can be only done if you have less than 500 entities)
Collapse all chart entities
Swap the chart layout HORIZONTAL/VERTICAL or LEFT/RIGHT
Fit the whole chart to the screen
Mark hierarchy route to the parent company
Remove hierarchy route marking.
Organizations chart card
Each organization node (company or unit) is presented as a card in the chart view. The cards are in the hierarchy order as they are in relation to each other. Parent company is on the top and underneath one or more subsidiary organizations.
Address details
Add a company address as follows:
Select the Address tab.
Click Add.
Fields are opened for editing below the existing addresses. In the fields marked with an asterisk (*), select or enter the information.
From the Type drop-down menu, select the address type:
Default: Visiting or registered address of the company. This will be automatically populated to the invoice header fields for supplier created sales invoices in BNP.
Invoice: This is the invoicing address for your company. If you add this, it will be automatically added to the supplier created sales invoices in BNP. If not, default address will be used.
RMA: Address for return merchandise agreement - not meant for buyer.
Factory: The address for a factory.
2. Enter other necessary data.
3. Save the changes by clicking Save.
Contact details
Add a contact person as follows:
Select the Contact tab.
Click Add. Fields are opened for editing below the existing contact persons. In the fields marked with an asterisk (*), select or enter the information.
Enter other necessary data.
Save the changes by clicking Save.
Bank account
Add a bank account as follows:
Select the Bank account tab.
Click Add. Fields are opened for editing below the existing bank accounts.
Select Bank Country and the country specific mandatory fields and account options are shown.
4. In the fields marked with asterisks (* or **), select or enter the information.
If your bank is in SEPA region, Bank Name and IBAN are mandatory fields
If your bank is in Sweden, you can also use the Bankgiro or Plusgiro field instead of the IBAN.
If your bank is in Switzerland, you can use the ISR number field with the IBAN. The ISR is shown on the invoice after the bank account number.
5. Save the changes by clicking Save. Please not that bank accounts details are required information only for companies sending invoices from Business Network Portal.
Privacy settings
Define privacy settings as follows:
Select the Visibility Preferences tab.
From the Contacts drop-down menu, select who will see the contact details:
If you want all companies to see the contact details, select Public.
If you do not want any company to see the contact details, select Private.
If you want your customers to see the contact details, select Business partner.
3. From the Bank Accounts drop-down menu, select who will see the bank accounts:
If you want all users to see the bank accounts, select Public.
If you do not want anyone to see the bank accounts, select Private.
If you want your customers to see the bank accounts, select Business partner.
You can check what information is publicly available by clicking View public profile.
